Gathering Types: All Virtual, All In-person, and Hybrid Events
An all Virtual event is a gathering that brings family and friends together when they are not in the same physical location but are connected in a common environment. So each guest is invited to join “virtually” on their computer, tablet, or smartphone, or by telephone (audio only). Think of it as one or two people, per device.
Speakers and guests can join from wherever they are and fully participate. Virtual Events are recorded and can be viewed by anyone not able to attend, or viewed again by any guests.
An all In-person event is a gathering that brings communities of family and friends together in the same physical location at the same time. Each guest must travel to the location of the gathering. If a guest can not travel, they can not attend the event.
Most of the time In-person events are not recorded and preserved.
*At Holding Space Events, we believe that a virtual option is an essential component for every in-person gathering. There are so many reasons that make in-person only attendance impossible - we’re here to help add a virtual component so that everyone can join and participate.
A Hybrid Event is when some speakers and guests gather in one physical location, while online speakers and guests join using Zoom, on their computer, tablet, or smartphone. Those onsite, in the same physical location, and the online guests who join using Zoom, come together and simultaneously participate in the same immersive experience. Hybrid events are recorded and downloadable for viewing after the event.
Generally speaking, if all of the speakers or guests in one location can not share a personal device, then a “hybrid setup” is necessary. Our technical team will ask questions about how many guests are gathering, the room setup, and your preferred viewing experience. Then the facilitation team will virtually guide you through the “hybrid setup” so that all of the onsite guests can see and hear all of the virtual guests and vice versa.
Why does this matter….well, the setup for a hybrid event requires a different skillset than for an all-virtual event and is often more time-consuming. It may also require some easily accessible cables and devices. There are nuances to each room configuration, so it does require a knowledgeable facilitation team to walk you through a “hybrid setup.”
Our team has done these setups hundreds of times and it’s often a matter of trying different options to find the optimal audio quality and camera setup.

Incorporate a few of their favorite things…..
Once the designated speakers have shared their remembrances, and the slideshow has been viewed, we often open the space to celebrate a few of the honoree’s favorite things. The following are all real examples of virtualized program elements:
Ice cream parties, fireworks, wearing a favorite team (school, clubs) jersey or colors, candle lighting, toasts, haiku, and other poetry writing, sharing and preparing a favorite cookie recipe, sharing knitting and quilting projects made by the honoree, eating Dairy Queen Dilly bars, wearing a favorite irreverent T-shirt belonging to the honorees, yoga stretch, 7th inning stretch (with “Take me out to the ball game” played), Wordclouds, top ten lists (David Letterman style)…And the list goes on.
